Corporate Development and Exhibits Coordinator

The American Society of Plastic Surgeons (ASPS) is seeking a Corporate Development and Exhibits Coordinator to work in our Exhibits and Corporate Development Department.

Basic Function

Coordinates planning and execution of exhibits and corporate development related projects, to include communications, marketing, promotional opportunities and sales support for the ASPS annual meeting, clinical symposia and other events. Provides high-level customer service for all exhibitors and corporate development prospects while maintaining a focus on identifying and building new industry partnerships.

Essential Duties

  1. Conduct review and publication of marketing materials and information, to include but not limited to website copy, emails, social media posts, corporate development prospectus and other promotional materials. Work with Communications Department for the maintenance of corporate development and exhibits information on the society's websites.
  2. Work in conjunction with the exhibits team in the fulfillment of space assignment various exhibit halls, including but not limited to the annual meeting, to include related exhibitor communications, facilitating booth assignments and confirmations.
  3. Assist in maintaining financial records for exhibits and corporate development accounts including payment processing, comparison reports and financial reconciliations. Assist in order tracking and fulfillment of branding and advertising opportunities as they relate to the society's meetings.
  4. Work directly with general services contractor and service providers to collect and publish detailed exhibitor services manual for the society's annual meeting and other meetings are required.
  5. Coordinate and promote the collection of information to be published in the program guide for distribution to attendees at the societies' various meetings.
  6. Assist exhibits team with coordination of logistical details for exhibit hall planning, to including but not limited to meeting specs, signage fulfillment, registration services and providing communication to internal stakeholders. Assist in developing the annual meeting security services schedule; work directly with the security vendor and internal stakeholders to finalize security needs for the society's meetings.
  7. Assist the Exhibits Manager onsite at the society's meetings to oversee exhibitor registration and exhibit hall vendors, while providing high-level customer service and support to exhibitors for a successful meeting.
  8. Assist in maintaining database with current exhibit and sponsor contacts throughout the year.
  9. This position requires up to 5% travel, ranging between 2-10 days.
  10. Perform other duties as assigned by supervisor.

Position Qualifications

  • Education: Associates degree required
  • Experience: Approx. 2-3 years related experience
  • Certifications: CMP, CMM or CEM preferred

Physical Demands

  • Manual Dexterity: Daily computer usage. Physically operate routine office equipment, such as telephones, computers and copier.
  • Physical Effort: Work requires occasional lifting of boxes. Required to lift up to 25lbs.
  • Working Conditions: Most work done in office, use of computer and telephone for discussion with corporate partners, vendors and staff. May be required to travel to sites other than the organization's main office. Work overtime as required.
  • Hazards: Hazardous conditions onsite at annual meeting during set-up and dismantle in the exhibit hall (forklifts, heavy equipment, heavy boxes).
