Governance and Compliance Coordinator

ASPS is looking for a technically proficient and savvy administrative professional to support the Governance and Compliance department on a remote basis. This individual must have the ability to work independently and collaboratively for a not-for-profit member organization with stellar business technology support that is focused on the healthcare industry. Contenders will have strong Word and Excel skills and experience using Teams and Zoom for virtual meetings.

What You Will Do

Provide administrative support to the Governance and Compliance Department of an innovative medical specialty society to include working on activities that support the organization's Nominating Committee, Bylaws Committee, Conflicts of Interest Committee, member disciplinary program and the organization's new "House of Representatives."

This position requires a meticulous individual who is comfortable taking initiative and identifying solutions to accomplish objectives, while maintaining flexibility with changing priorities.

  • Provide general support for Governance Department administrative functions such as:
    • Monitoring several Governance and Compliance mailboxes daily and replies to inquiries in a timely manner.
    • Inputting Governance and Compliance projects into Asana (enterprise project management system)
    • Managing purchase orders and vendor invoices in Concur.
    • Assisting with documenting the Governance Department's policies and procedures.
    • Providing logistical support such as scheduling, meeting invites, etc. for the Nominating Committee, Governance Committee, Trustees, Bylaws Committee, Conflicts of Interest Committee, Ethics Committee, Judicial Council and the Council of Representatives structure, including the three Subcouncils.
    • Assisting with the Society and Foundation Awards program.
  • Provide support for important governance programmatic functions, including the Nominating Committee, Council of Representatives and the member disciplinary program.
    • Assists with the preparation of PSTM/annual conference Governance Department committee meetings and activities, including Board of Directors and Executive Committee meetings and activities, as well as meetings of the three Subcouncils of the Council of Representatives.
    • Facilitates member communications related to the member disciplinary program and the Council of Representatives structure.
    • Maintains and updates records of outside organization appointments.
    • Assists with vetting qualifications of candidates applying to serve on the Nominating Committee and producing reports and material in support of the nominations process.
    • Researches and produces committee service reports and other documentation related to candidates slated by the Nominating Committee, as directed by the Nominating Committee staff liaison.
    • Maintains and updates records of outside organization appointments.
    • Facilitates the intake and tracking of complaints submitted to the Ethics Committee.
    • Prepares templated correspondence for complaints that appear to be outside the purview of the Ethics Committee (quality of care complaints and those related to business disputes), and for "preemptive" matters that can be resolved without investigation.
    • Assists with preparation of documentation for appellate hearings with the Trustees.

What You Will Need

  • Associate's degree or equivalent work experience. Advanced degree a plus.
  • At least three years of experience in an administrative role.
  • Excellent organizational and communications skills (both verbal and written).
  • Sharp eye for detail and the ability to work independently while adhering to standard operating procedures.
  • Advanced computer skills including Microsoft Outlook, Word, Excel and PowerPoint required, working knowledge of Aptify and Asana a plus.
  • Enjoys working in a high-paced, productive atmosphere and has the ability to complete multiple tasks and high volume of work on firm deadlines.
  • Excellent writing, spelling, grammar and proofreading skills.
  • Ability to work independently as well as interact with a variety of project teams.
  • Strong Microsoft Office skills (Word, Outlook, PowerPoint, Excel) and ability to become familiar with Society-specific programs and software (ex: Aptify, Zoom web conferencing, Asana, Concur)
